About the Position

As the Executive Assistant to the VP of Sales & Marketing for the Northern Region, you will serve as a vital business partner, ensuring the seamless operation of the Professional Hygiene Sales & Marketing team. This role involves actively participating in projects within the regional leadership group and may require occasional travel (up to 10% annually).

Key Responsibilities

  • Organize and facilitate leadership team meetings, including preparation of agendas, minutes, and action items.
  • Develop and maintain the leadership team's annual calendar.
  • Create and coordinate presentation materials.
  • Arrange conferences, internal and external meetings, and various activities.
  • Lead and manage specific projects as assigned.
  • Compile and finalize reporting data in a timely manner.
  • Drive initiatives for business improvements proactively.
  • Ensure effective communication and information flow to relevant stakeholders.
  • Handle confidential information with discretion (e.g., Non-Disclosure Agreements, personal data, company information).
  • Collaborate in the development, implementation, and maintenance of frameworks and guidelines.
  • Assist in the implementation and upkeep of relevant information systems and tools.
  • Manage the calendar for the VP.
  • Organize travel arrangements for individuals and groups.
  • Foster networking opportunities within the organization and with external partners.

Qualifications

  • Bachelor's degree or higher.
  • Several years of experience in a similar role.
  • Proven project management skills (planning, overseeing, and executing).
  • A proactive mindset with strong influencing and communication abilities.
  • Exceptional attention to detail and problem-solving capabilities.
  • Excellent networking skills within the organization and with external stakeholders.
  • Ability to thrive under pressure and manage multiple tasks simultaneously.
  • Capacity to handle sensitive and confidential information with integrity.
  • Proficient in presenting information in a visually appealing and structured manner.
  • Strong knowledge of Microsoft Office tools and a willingness to learn new technologies.
  • Fluency in English; proficiency in Swedish is a plus.
  • Experience in a multinational organization is preferred.
  • A positive attitude towards work and collaboration.
