We are now looking for an Office Manager to cover a maternity leave, at G+D Mobile Security for a position based in Stockholm, from July 1, until February 28, . As the heartbeat of the organization, you'll have a central role in ensuring that our office operations and communication run like clockwork. You will be a part of the People & Culture team, consisting of; this role, an office administration role and an HR Business Partner, reporting to the HR Director. Collaboration will be key as you provide crucial support in various areas including office management, maintaining a healthy work environment, assisting with People & Culture onboarding and offboarding processes, event management and in delivering exceptional services at our reception area. Your manager is a firm believer in granting autonomy alongside accountability, and encouraging your own creative expressions in your work. In our hybrid working model, adaptability and flexibility is key, as it evolves in response to the weekly office events. Responsibilities:

Office Management: You will make sure our office is a welcoming and well-maintained environment. This includes liasing with suppliers, coordination with janitorial staff, and ensuring all office supplies are stocked. You'll be the office magician who keeps things running smoothly behing the scenes. Health and Safety: You'll collaborate with local security and safety representatives to ensure our work environment is safe. This includes coordinating fire drills, managing the alarm system and keeping our Business Continuity Plan up to date. Technical Experience: You'll work closely with our IT department to keep our office technology current and efficient. You'll also manage work phone administration for all employees. Events Management: You'll help us create memorable experiences for our team and guests. You'll coordinate company events, parties, and fairs - adding that extra wow factor. Internal Communication: You'll manage office communication, ensuring everyone is informed and engaged. This includes managing our local intranet and other communication channels. Branding: In collaboration with the Office Manager Administration, you'll help build our brand internal and external. You'll ensure our brand is visible and connected to our values. The Reception: You'll help create lasting impressions by managing our reception area. This includes meeting and greeting guests and keeping the area clean and organized. HR Support: You'll assist with onboarding and offboarding processes, ensuring a smooth transition for all team members. MISC: You're flexible and ready to take on ad hoc tasks and projects as they arise. You'll also be ready to step in an support the Office Manager Administration role when needed.


Qualifications:

At least 2-3 years of experience in service and/or office management Strong background in administration and systems Proficiency in both written and spoken Swedish and English is a must
