At Hyper Island, we're looking for a Program Administrator who ensures everything runs like clockwork - from student documentation to compliance and case documentation and handling - so that our learners and facilitators can focus on what matters most: growing, experimenting, and making an impact.
The Role As our next Program Administrator, you'll play a central role in ensuring the smooth day-to-day operations of our vocational programs. You'll work closely with our cross-functional learning teams, and students to make sure the magic of experiential education at Hyper Island happens — seamlessly, compliantly, and with heart.
This role sits at the core of our Program Operations and supports the delivery of educational excellence by keeping the structure sound and the details sharp.
What You'll Do
Streamlining admin processes to support facilitators, external industry experts, and students.
Streamlining admin processes to support facilitators, external industry experts, and students.
Managing academic logistics like grades, documentation, funding requisition and graduation tracking.
Ensuring compliance with Yrkeshögskolemyndighetens rules and reporting protocols.
Supporting student cases, especially around study breaks, special pedagogical needs and accommodations and documentation for internship.
Ensure student data is secure, up-to-date, and shared responsibly across systems, especially in our administrative platform Classter.
Collaborating on evaluations and quality reporting alongside our Quality Controller.
Supporting the recruitment and onboarding of student mentors for special pedagogical support.
Providing occasional administrative support for student recruitment through application review.
Help steering committees stay on track with curated documentation and support.
Who You Are
You're structured, proactive, and thrive in environments where no two days are the same. You bring:
Proven experience in administrative roles (preferably within vocational education, YH).
Excellent communication skills in English and Swedish.
Digital fluency in Google Suite - and excitement about new tools like generative AI.
Empathy, tact, and clarity in working with students from diverse backgrounds.
An eye for detail, paired with a systems-thinking mindset.
A relevant university degree or equivalent higher education.
Working Conditions
This is a full-time role with a 4:1 hybrid model — four days onsite, one day remote.
Occasional travel to our other campuses and industry events may be required.
Flexibility during peak periods is part of the rhythm.
