About the Role

The scope of this position is based on two main areas of responsibility: Leadership team coordinator and assistant to the CEO. As an Executive Assistant, you will play a crucial role in ensuring the efficiency and success of our executive team by providing comprehensive administrative support and facilitating smooth leadership operations.

The role is based in Solna, Stockholm but will involve some travel each month.

Key Responsibilities
  • Scheduling and assisting the leadership team meetings, materials, and workflow.
  • Managing off-site team workshop locations.
  • Managing the structure of the leadership team's site.
  • Following up on actions and deadlines.
  • Other related tasks.
  • Calendar management.
  • Travel and expense management.
  • Managing postal mail, approvals, and signing processes.
  • Assistance with PowerPoint and communications materials, proofreading, etc.
Your Background & Profile

To be successful in this role, you are a strong people person and a good communicator. You aim to drive impacts (vs. activities) and have a focused mindset. You are consistent and durable in a fast-moving and sometimes unclear environment with multiple stakeholders.

You have a strong ability to quickly establish trustworthy relationships and collaborate with people at all levels within the organization. You believe in trust, openness, and honesty and are not afraid to take initiative and make everyday decisions. Furthermore, you are analytical and have a problem-solving attitude with the capability to effectively handle complex tasks and priorities. A good understanding of what creates business value and the ability to implement these ideas is essential.

We also believe that you enjoy being in a fast-paced environment. Flexibility is therefore a high priority for this role.

Qualifications
  • Executive assistance experience.
  • Significant exposure and experience from CEO working conditions in a turnaround or transformational context.
  • Industry experience within IT is a plus.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Excellent written and verbal communication skills in both Swedish and English.
