Key Responsibilities:

  • Assist the Executive Assistant with daily administrative tasks, ensuring seamless support for the team.
  • Maintain and update records and files, including contracts and other sensitive documents.
  • Coordinate the preparation, notarization, and legalization of legal documents, ensuring compliance with regulations.
  • Coordinate travel arrangements and itineraries, prioritizing efficiency and effectiveness.
  • Organize social events, such as team-building activities and celebrations, fostering a positive work environment.
  • Manage meeting logistics, including room bookings, lunch orders, and coffee arrangements.
  • Perform other administrative duties as assigned, demonstrating flexibility and adaptability.
  • Manage and organize schedules, appointments, and meetings, ensuring timely and efficient communication.
  • Handle correspondence, emails, and phone calls, providing exceptional customer service.
  • Provide cover/support for reception as needed, ensuring a seamless customer experience.

Qualifications:

  • Previous experience in an administrative or service-related role, with a strong focus on customer service.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects.
  • Excellent written and verbal communication skills in both Swedish and English, with the ability to communicate effectively with colleagues and customers.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to learn new software and systems quickly.
  • Ability to work independently and as part of a team, with a strong focus on collaboration and teamwork.
  • High level of attention to detail and accuracy, with the ability to maintain confidentiality and handle sensitive information.
  • Flexibility to adapt to changing priorities and tasks, with a strong focus on flexibility and adaptability.

You will have experience working in a busy, international environment and be able to adapt to changing priorities and tasks. You will also have a strong focus on customer service and be able to communicate effectively with colleagues and customers.
