Vattenfall AB is a leading energy company driving the transition to a sustainable energy system. As an Executive Assistant, you will play a critical role in supporting the Vice President Sustainability and the Director Sustainable Supply Chain in achieving our sustainability goals.

About the Role

This is an exciting opportunity to join a collaborative team that values precision, integrity, creativity, and effective performance under pressure. As an Executive Assistant, you will independently run initiatives, such as updating Vattenfall's sustainability content on the web and in PowerPoint presentations, coordinating Health & Safety activities, and running benchmarks.

  • You will provide proactive and structured administration to the Vice President Sustainability and the Director Sustainable Supply Chain.
  • You will organize Sustainability Team meetings and ensure effective routines.
  • You will maintain calendars, manage emails, schedule and prioritize meetings, and make logistical arrangements necessary.

Your tasks and responsibilities include:

  1. Maintaining the Vice President Sustainability's calendar, managing emails, scheduling and prioritizing internal and external meetings, and making logistical arrangements necessary.
  2. Supporting the Director of Sustainable Supply Chains to manage her calendar, schedule meetings, and make logistical arrangements necessary.
  3. Providing accurate information about internal and external meetings and events.
  4. Prioritizing inquiries and requests, responding or forwarding to others, making judgments and recommendations to ensure smooth day-to-day engagements.
  5. Creating and preparing oral and PowerPoint presentations and decision material, supporting with formulating key messages.
  6. Performing analyses, benchmarks, and preparing presentations for senior stakeholders.
  7. Coordinating management activities of the Sustainability Team, including organizing tasks related to Sustainability Team meetings (including taking minutes), Health & Safety related activities, and securing effective routines.
  8. Providing administrative support, including managing invoicing processes, expense tracking, and reconciliations for the Sustainability department, ensuring compliance with financial policies and procedures.
  9. Acting as a liaison and providing support to the Sustainability team.

To succeed, you will need strong verbal, written, and interpersonal communication skills, the ability to cope with strict deadlines and pressure, strong organizational and coordination skills, and the ability to prioritize your workload and organize time and tasks efficiently.
