Modernity is an international design gallery with locations in Stockholm and London. We specialise in 20th-century Nordic design masterpieces, organising regular exhibitions and participating in leading international design and art fairs. We work closely with renowned interior decorators, as well as institutional and private collectors.
About the role
For our Stockholm gallery (Östermalm) and warehouse (Lidingö), we are looking for a full-time Gallery Coordinator. This is a hands-on, detail-focused operational role at the heart of the gallery's daily activities.
You will be the key person overseeing everything that comes into and goes out of the gallery: from the moment a piece is purchased, through photoshoots, handling and storage, to adding it to our internal database and arranging delivery to clients. You will work closely with the sales team, ensuring that all logistical and registrarial aspects run smoothly and to a high standard.

Modernity is a small, tight-knit team where everyone is involved in many aspects of the business. As the company continues to grow, there will be significant opportunities to develop within the role and take on more responsibility over time.
If you also have experience with digital tools such as SEO, online marketing or similar, that will be considered a strong merit – but it is not a requirement for the position.
Who you are
You are extremely detail-oriented, organised and reliable, and you enjoy following a process from start to finish. You are comfortable with physical work such as carrying and handling design objects and artworks, and you work meticulously when adding new pieces to our internal database. Attention to detail is essential, as you will be responsible for ensuring that every object is recorded correctly and consistently.
You communicate clearly in Swedish and English, have good social skills and are able to collaborate well with both colleagues and clients. You manage your time efficiently, keep track of many parallel tasks and enjoy working in an ambitious, high achieving small-team environment.
A three-year university degree or 2–3 years of relevant work experience is required, as well as a driver's licence valid in Sweden. Good to very good proficiency in verbal and written English is also required. Experience with Artlogic, InDesign and Photoshop is desirable but not essential.
Key responsibilities
The role includes, but is not limited to:
– Coordinating product photoshoots and supporting the photographer during sessions, ensuring all objects are prepared, correctly handled and added to the database.
– Handling logistics for fairs, client appointments and exhibitions.
– Packaging, storage and movement of inventory (furniture, lighting, textiles, ceramics, glass, jewellery and art).
– Preparing and submitting shipping and customs documents, including pro formas and CITES permits.
– Requesting quotes and organising transports with external couriers for exhibitions, art and design fairs, consignments, loans and sales, as well as transports between the warehouse and the gallery.
– Overseeing warehouse logistics and maintaining order in storage areas.
– Ordering packing materials and crates, and ensuring that works are packed appropriately for transport and long-term storage.
– Administering and maintaining the gallery database (Artlogic) and our listings on 1stDibs.
– Occasionally assisting clients in the gallery or at art and design fairs abroad.
– Occasionally assisting and working on Saturdays.
