About the role

As an Office Manager at Voyado, you have the main responsibility for all office-related event-planning, administration and coordination. This is a part-time role (25 hours/week) with set hours: Monday–Thursday 08:30–13:30 and Friday 07:30–12:30. Our offices are a key factor in building our culture and overall success, providing us with a place for collaboration, focus and creativity. You are part of the People & Culture team and report directly to the Sarah Jerlin, Head of Office Management. This means that you also will be involved in other projects related to the People area such as different engagement activities and internal/external employer branding events.

Scope & responsibilities:

• Point person for maintenance, mailing/shipping, office supplies, equipment, and other office related purchases
• Coordinate a welcoming onboarding experience for new hires (badges, desk setup, swag, tours)
• Plan and execute local events (all-hands, meetups, celebrations)
• Manage contacts and relationships with vendors, service providers and landlord
• Greet visitors and provide hands-on support to teams and leaders as needed
• Participate actively in the planning and execution of local company events, both small and large
• Keep calendars, room bookings, and office schedules running smoothly
• Monitor and maintain office supplies and kitchen inventory; track costs and keep simple budgets up to date
• Ensure a welcoming, safe, and compliant workplace

Basic qualifications

• Experience in office/workplace management, reception, service, or executive/administrative assistance
• Strong time management skills and ability to multi-task and prioritize work
• Service mindset and excellent people skills
• Structured and strong organizational skills
• Proactive and solution-oriented; you see issues early and act
• Strong organizational and planning skills
• You speak Swedish – but since we are planning to take over the world you must be comfortable with speaking English.
