Role overview 

This is a parental leave cover position, starting approximately in March 2026 and lasting for 12 months.

As Office Experience Manager, you'll be the driving force behind creating a seamless, welcoming, and engaging office environment across several of our locations, with out Stockholm office as your home base. This role combines operational excellence with cultural impact - ensuring our offices are safe, well-equipped, and aligned with Benifex's values. You'll lead a small team of two colleagues, manage office-related projects, and coordinate with country ambassadors to deliver initiatives that boost employee satisfaction and foster community. From procurement and compliance to events and internal communication, you'll make sure every detail contributes to an exceptional workplace experience.

Responsibilities 
  • Lead and oversee the Office Experience team, which includes yourself, one part-time team member based in Stockholm, and one full-time colleague in Gothenburg, ensuring smooth and efficient operations across these key locations. 

  • Maintain tidy, efficient, and culturally aligned office environments in Stockholm and Gothenburg, collaborating with country ambassadors in our other locations. 

  • Manage front desk functions and provide high-quality service to employees and visitors. 

  • Organize and lead internal/external meetings, events, and activities, including logistics and catering. 

  • Administer the Benifun staff club and manage its budget allocation. 

  • Oversee office procurement and negotiate supplier contracts. 

  • Ensure compliance with health, safety, and security regulations; update workplace policies. 

  • Own the onboarding process for office and security introductions for new employees. 

  • Support or lead projects aimed at improving office experience and engagement. 

  • Track and report sustainability data in collaboration with the Sustainability Manager. 

What we are looking for 
  • 1-2 years of hands-on experience in an Office Manager role, combined with several years of relevant prior experience in service-oriented roles such as reception, workplace services, events, or similar.

  • Demonstrated seniority through proven experience in coaching, leading others, and taking ownership beyond own scope.

  • A highly structured and proactive way of working, with the ability to independently prioritize, plan, and drive initiatives forward.

  • Solid understanding of workplace health and safety, including risk and consequence analysis, and the confidence to act as a go-to person in these areas.

  • Fluent in Swedish and English.

Bonus points for: 

  • Experience in event planning and coordination.
