Stockholm, Stockholm, Sweden CAIA Cosmetics Full time

CAIA Cosmetics is a Stockholm-based global beauty brand, founded in 2018 by beauty industry veterans and experts in social media and content. We create high-performing, top-quality products at accessible price points, always crafted with intention and grounded in our Scandinavian heritage of effortlessness, warmth and clean design.

Driven by an entrepreneurial and creative spirit, CAIA blends quality and expertise with creativity and entertainment to make beauty feel inspiring, joyful and easy to use. Our world is aspirational yet attainable - rooted in access, community, inclusivity and our signature "effortless glow."

ABOUT THE JOB
At CAIA Cosmetics, creativity and seamless execution go hand in hand. Now we are looking for a highly organized, and creative Marketing Project Manager to join our Campaign Team - someone who can steer large-scale, cross-functional projects and international events with structure, speed, and sharp thinking. You'll work closely with teams across the Creative, Marketing and Commercial team to bring our brand vision to life on a global stage.

As our Marketing Project Manager, you will lead some of CAIA's most complex and high-impact marketing initiatives, from global marketing projects to large-scale brand events. You will also drive retail marketing initiatives in close collaboration with the Creative Director and Head of retail, ensuring in-store activations are executed to CAIA's standards.

You will oversee projects from early planning to final execution, ensuring timelines, budgets, and deliverables stay on track. In this role, you will coordinate cross-functional teams, manage external partners, and maintain clear communication with all stakeholders to keep projects moving smoothly. You will also take ownership of project budgets, optimize resources, and proactively identify potential risks to secure successful outcomes. This role is central to driving structured, seamless, and high-quality execution across CAIA's global marketing efforts.

MAIN TASKS & RESPONSIBILITIES

Deliver projects on time, within scope, and aligned with objectives.

Lead, plan, and monitor marketing projects from start to finish, ensuring milestones and deliverables are met.

Build and manage project budgets, track costs, and optimize resources throughout the process.

Lead project group, coordinate cross-functional work, and manage external partners with clear, consistent communication.

Identify risks early, troubleshoot obstacles, and safeguard timelines, budgets, and outcomes.

Drive retail marketing initiatives in close dialogue with the Creative Director and Head of Retail, ensuring in-store activations are consistently executed to CAIA's standards.

Manage merchandise planning and ordering, securing timely production, quality control, and smooth distribution of all branded materials.

QUALIFICATIONS & PERSONAL SKILLS

Experienced in project management and administration, ideally from a marketing department, creative agency or production company.

Excellent communicator and team player who can inspire both internal and external collaborators.

Detail-oriented, organized, and comfortable juggling multiple projects and budgets simultaneously.

Able to travel for events and international activities.

At CAIA, you'll be part of one of Scandinavia's most exciting and fast-growing beauty brands, working in a creative, collaborative and dynamic environment where ideas come to life and you can make a real impact on how our marketing projects look, feel and perform. If you're excited to drive major marketing initiatives and elevate CAIA on a global stage, we'd love to hear from you, send us your application and let's continue building CAIA's story together.
