As an Executive assistant you will play a central role in both challenging and supporting the executive, contributing directly to the development of the business.

Your role

Saab is seeking an experienced Executive Assistant to support Head of Group Communication and sustainability. This position requires an ability to interact with staff at all levels in a fast-paced environment all while remaining flexible, proactive, communicative and with a high level of professionalism and confidentiality. The ideal candidate is a strong communicator, a natural problem-solver and a true extension of the executive they support.

Your responsibilities include, but are not limited to:

  • Providing support to the Head of Communication and Sustainability, including handling confidential assignments, coordinating day-to-day operations and anticipating the executive's needs.
  • Manage a busy, dynamic and ever-changing calendar, ensuring seamless scheduling across time zones and shifting priorities.
  • Organize and facilitate meetings, overseeing all logistics including booking conference rooms, compiling agendas, documenting meeting minutes and decisions, organizing materials, catering and attendee coordination

  • Support expense reporting, procurement, and budget tracking where applicable

  • Coordinate deliverables such as briefings, overview documents and presentations

  • Support producing presentations, briefing materials and background papers.
  • Identify opportunities for continuous improvement and proactively implement solutions
  • Arranging conferences and administrating various forums (sending invitations, preparing agendas, taking minutes, providing proactive suggestions) within the function.

Your skills and experience

You thrive in a fast-paced environment, excel at multitasking and have strong organizational skills. We are open to candidates with solid experience in similar roles as well as recent graduates (in finance, communications/marketing, political science, or related fields) who demonstrate strong potential and a willingness to learn.

You are a service-minded colleague with a high level of professionalism and integrity. Strong judgement and problem-solving skills, excellent communication abilities and the flexibility to thrive in a dynamic environment with shifting priorities are essential attributes. You have the ability to analyze and summarize information, preparing clear and professional briefings and materials. An interest in communication and marketing is important and fluency in both Swedish and English, spoken and written, is required.

We expect the right person to develop and over time be ready for other roles within our communications or marketing teams.

This position requires that you pass a security vetting based on the current regulations around/of security protection. For positions requiring security clearance additional obligations on citizenship may apply.
