About the Role

Are you a proactive, service-oriented professional who thrives in a dynamic environment? In this central role, you will be the right hand to our Management Team—primarily the CEO and CFO—while ensuring the smooth operation of our headquarters in Stockholm.

You will act as a key point of contact for internal and external stakeholders, including colleagues in other countries and suppliers. Beyond executive support, you will manage office operations and create a welcoming, well-organized HQ environment. Building strong relationships and maintaining clear, professional communication will be key to your success.

Your Responsibilities

Executive Assistant

  • Provide high-level administrative support to executive leaders and strategic initiatives
  • Manage complex calendars and coordinate meetings across multiple time zones
  • Organize travel arrangements, handle expense reporting, and maintain schedules
  • Prepare presentations and meeting materials for leadership and board members
  • Support the Chairman and board with practical needs
  • Collaborate with colleagues in Sweden and internationally
  • Assist with finance-related tasks (e.g., invoice control)
  • Support onboarding and offboarding processes at HQ
  • Coordinate events, workshops, and team activities

Office Manager

  • Oversee daily office operations to ensure a smooth and welcoming environment
  • Manage meeting rooms, catering, and office supplies
  • Act as the first point of contact for visitors, vendors, and service providers
  • Maintain relationships with landlords, security, cleaning services, and suppliers
  • Coordinate safety introductions and training for staff and visitors
  • Ensure compliance with office policies and procedures
  • Handle minor facility issues or escalate when needed

Requirements

  • 5 years of experience as an Executive Assistant, Project Coordinator, or Office Manager in a high-performance environment
  • Excellent communication skills in Swedish and English (additional languages are a plus)
  • Advanced proficiency in Microsoft Office (PowerPoint, Word, Excel, Teams)
  • Strong organizational and prioritization skills
  • Experience with digital tools and travel & expense platforms
