Job Summary

We are seeking a highly organized and dynamic Executive Operations Coordinator to support our CEO and group management team. As a key member of our Stockholm head office team, you will play a pivotal role in managing daily operations, ensuring seamless execution of tasks, and contributing to our mission of driving innovation and excellence.

Key Responsibilities

  • Executive Support
    • Assist the CEO with daily tasks, including calendar management, meeting organization, and document preparation.
    • Ensure follow-up on decisions and actions, maintaining a high level of organization and attention to detail.
  • Office Management
    • Serve as the site manager for our Stockholm head office, ensuring a smooth and efficient working environment.
    • Manage reporting, document handling, travel bookings, and email communication to maintain the CEO's workflow.
  • Project Involvement
    • Participate in and support various projects aimed at improving company processes and operations.
  • Administrative Duties
    • Manage administrative tasks, including reporting, document handling, and travel bookings.
    • Act as the primary contact between the CEO, employees, customers, and partners to maintain efficient communication.

Requirements

  • Several years of experience in supporting senior management or the CEO, preferably in a fast-growing or dynamic business environment.
  • Preferably experience from working in an international organization with Private Equity owners.
  • The ability to rapidly familiarize yourself with new tasks, projects, and business contexts.
  • Initiative and problem-solving skills to identify opportunities for improving processes and acting without being asked.
  • A strong sense of structure and attention to detail, ensuring nothing slips through the cracks.
  • A humble, can-do attitude, willing to step in and help wherever needed.
  • Excellent communication skills: Fluent in both Swedish and English, with strong written and verbal communication skills.
  • Tech-savvy approach: Proficiency in MS Office, especially PowerPoint, SharePoint, Teams, and overall digital competence.
