Administrative Liaison

The Administrative Liaison serves as a vital link between the site and Head Office, facilitating effective communication and addressing issues beyond the site's scope. This position requires strong interpersonal skills, with the ability to build relationships with diverse stakeholders.
Key Responsibilities:- Collaborate with Head Office to address issues beyond the site's scope, escalating unresolved matters as needed.
- Manage employee-related matters, including mobilization, contracts, working hours, payroll, and training, to ensure compliance with legal requirements.
- Coordinate accommodation and vehicle-related needs, handle business travel arrangements and expenses, and oversee the provision of personal protective equipment (PPE).
Financial Administration:
- Manage site expenditure, including the site's bank account and credit card, and process payments to suppliers and landlords.
- Perform monthly reconciliation and maintain a cashbook for audit purposes, and arrange local leasing agreements for equipment or facilities as needed.
Facilities Coordination:
- Organize office facilities, including space planning and stationery supplies, and manage consumables to ensure efficient resource utilization.
Security and Access:
- Issue security passes to all personnel, including staff, contractors, and vendors, and maintain records of pass issuance, approvals, and instructions.
Event Organization:
- Coordinate project-related, corporate, and social events, requiring strong organizational and communication skills.
- Education: A high school diploma or equivalent is required, with additional relevant certifications or a bachelor's degree in a related field being advantageous.
- Experience: Typically 3-5 years of experience in administrative roles, preferably in construction or project management.
- Skills: Strong organizational and communication skills, attention to detail, and problem-solving abilities, as well as familiarity with financial processes and IT tools.
