Job Description – Customer Service Administrator - STUDENT POOL

Department/Region: Customer Service / Operations Sweden

Reports to: Customer Service Manager

Purpose of Role

The Customer Service Administrator ensures smooth handling of customer service tasks, order processing, and documentation to support efficient operations and high-quality service delivery.

Key Responsibilities

Register and manage service orders according to customer requests.

Register and update sales orders, confirmations, and service changes.

Perform order management and maintain customer information in ERP and CRM systems.

Register non-compliances in the quality system.

Process invoices, credit notes, and quotations.

Handle export/import documentation.

Support reporting, product traceability, and customer registration.

Authority

Register RMAs and orders.

Invoicing when applicable.

Update/change customer master data in ERP and CRM systems.

Approve quotations.

Required Qualifications & Skills

Proven experience in customer service tasks.

Experience with export/import processes.

Proficiency in MS Office and ERP systems.

Good organizational skills and attention to detail.

Knowledge of product applications, traceability, and compatibility (advantageous).
