The Recall & Claims Coordinator supports the organization in securing timely and effective handling of incoming product Field Safety Notices (FSN) and recalls from manufacturers/suppliers as well as product failure complaints from customers. The role ensures that all required actions are performed and documented in our systems according to a framework of established guidelines. This involves coordinating and collaborating with other internal parties participating in the process, from customer service to product managers and warehouse.

What are you going to do?
  • Daily monitoring of FSN/Recall inbox. Act as first point of contact and receiver for FSN/Recalls sent by suppliers to Mediq Sweden and Mediq Norway.
  • Urgently investigate what products are affected and what actions are required by the supplier according to received mail. Block stock if needed.
  • Create Non-Conformity Report (NCR) in ERP system IFS.
  • Investigate what customers are affected. If applicable, forward FSN through action in NCR to recall coordinator in Mediq Denmark.
  • Contact product manager as stated in ERP system, arrange start meeting with applicable stakeholders, coordinate Field Safety Corrective Action process and make sure all are aware of their tasks.
  • Continuously follow up on FSCA progress and maintain communication with involved parties to coordinate and ensure correct and effective handling of all required actions, including warehouse returns to supplier, scrapping, customer/supplier credit etc.
  • Archive documentation of performed FSCA in NCR.
  • Actively monitor NCRs of Product Failures in IFS.
  • Assist product managers if needed with notifying applicable external parties, i.e., Manufacturer and/or Authorized Representative, Importer, Competent Authority, Notified Body (if relevant) through required forms, templates, portals etc.
  • Log actions and external party feedback in NCR.
  • Continuously follow up on NCR progress and maintain communication with product managers to coordinate and ensure effective handling of all required actions including warehouse returns to supplier, scrapping, customer/supplier credit and timely customer feedback.
What is your background?
  • Experience of working and swiftly navigating in business systems (Good knowledge in IFS will become a success factor).
  • Structured and follows procedures and guidelines.
  • Ability to independently drive and project manage FSN cases.
  • Good coordination skills and great team player.
  • Can-do mentality and ability to solve problems that arise to ensure progress.
  • Good English, both verbally and in writing.
  • Good administration and documentation skills.
  • Structured and responsible.
  • Ability to occasionally manage urgent cases and short deadlines.
  • Ability to collaborate effectively with good social competence.
  • Motivated by execution.
