Administrative & Executive Assistant to Fashion Retailer

We're looking for a highly organized and service-oriented Administrative Assistant to support key functions and senior stakeholders within a fast-paced environment at a global retailer in the fashion industry.
This full-time assignment (starting asap) is based on-site in Stockholm and will run for 6 months, with the possibility of extension.
About the role: As an Administrative Assistant, you will provide essential day-to-day support to managers across the specific divisions. Your work will ensure the smooth handling of operations, vendor coordination, and internal communication, contributing to the overall efficiency and team spirit of the department.
Responsibilities:
• Support invoice processing for managers, controllers, and HR
• Approve employee time reports within the HRM system
• Coordinate business travel and accommodation arrangements
• Submit and manage expense reports on behalf of managers
• Act as the access owner for shared distribution mail lists
• Provide general administrative support and manage day-to-day tasks for managers
• Order flowers, gifts, and other items for special occasions in the office
• Organize and coordinate social events such as breakfasts, workshops, and after-work gatherings
About you: You're a hands-on, detail-oriented professional with a proactive mindset and a genuine passion for supporting others. Your previous experience in administrative roles or customer-facing positions has given you the confidence to manage multiple tasks with ease and a positive attitude. You thrive in dynamic environments and take pride in keeping things running smoothly behind the scenes.
Experience and skills:
• At least 1 year of experience in administration, front desk, office management, or customer service
• Proven attention to detail and ability to stay organized across multiple tasks
• Strong service orientation with a proactive and collaborative approach
• Clear and professional communication skills in English
• Comfortable working with Microsoft Office tools (Word, Excel, Outlook, PowerPoint)
• Experience with HRM systems is a plus

For this assignment you will be hired as a full-time consultant by Digitalenta.
