Job Description and Key Responsibilities

We are now looking for a Receptionist to join our Stockholm office, a key person who will be the face of Visual Art and ensure that our office runs smoothly and efficiently every day.

You will be the first point of contact for our visitors, providing a welcoming and professional impression of our company. We're looking for someone who enjoys meeting people, thrives in a dynamic environment, and has a strong sense of service and structure.

In this role, you will take ownership of a wide range of administrative and office-related tasks, ensuring a pleasant and well-functioning workplace:

  • Greet and assist visitors and manage the reception area
  • Coordinate meetings and customer visits
  • Handle mail and deliveries
  • Order and manage office supplies and consumables
  • Communicate and coordinate with external service providers (e.g. cleaning, coffee suppliers, office maintenance, etc.)
  • Support with general administrative tasks
  • Help to plan events internally and for our customers/partners.
  • Take responsibility for basic facility management, ensuring the office environment is organized, welcoming, and efficient

Your Profile

We believe you are a social, proactive, and service-minded person who takes initiative and enjoys creating order and structure. You are positive, professional, and always willing to go the extra mile to help colleagues and visitors.

We think you bring:

  • Previous experience in a similar role within reception, office administration, or customer service
  • Excellent communication skills in both Swedish and English
  • Good knowledge of Office 365 and general administrative tools
  • A strong sense of ownership, professionalism, and attention to detail

This is permanent position, 6 months probationary period, starting December 2025, based at our Stockholm office, the headquarters of Visual Art.
