The Role
We're seeking a
Global Facility Coordinator
to own and scale our physical footprint as Legora grows across the world. You'll lead the procurement, setup, and management of our offices from Stockholm to new markets in Europe, the US, and beyond. We are growing fast, quickly opening new offices and outgrowing existing ones. We need a builder.

This is a hands-on, strategic, and operational role. You'll handle everything from scouting new office spaces and negotiating contracts to managing logistics, vendors, and workspace experience. As one of the few people with visibility across all offices, you'll play a key role in ensuring every Legora space reflects our culture of excellence, speed, and care.

You'll also act as the go-to person for all office-related needs — the kind of person who gets things done, solves problems before they appear, and helps the company scale smoothly as we expand globally.

What You'll Do
Global Expansion & Procurement

  • Lead end-to-end office procurement and setup in new markets — from space search and evaluation to contract negotiation and build-out.
  • Develop scalable processes for office sourcing, vendor management, and compliance across geographies.
  • Partner closely with leadership to ensure commercial terms, timelines, and office locations align with company growth plans.

Facility Operations

  • Oversee daily operations of all offices, ensuring functionality, safety, and a premium workplace experience. Together with a global team of office coordinators.
  • Work together with IT and Security to manage vendors and service providers across cleaning, maintenance, IT infrastructure, and office services.
  • Design systems to ensure operational excellence and consistency across global offices.

Contract & Vendor Management

  • Negotiate and manage leases, renewals, and service contracts in partnership with the Head of Operations.
  • Track key dates, obligations, and budgets — ensuring cost efficiency and compliance.
  • Build and maintain strong relationships with brokers, landlords, and vendors.

Office Experience

  • Create thoughtful, functional, and inspiring work environments that reflect Legora's culture and values.
  • Partner with People Operations to support onboarding, events, and day-to-day workspace needs.
  • Anticipate and solve problems across any area of office life — from logistics to employee experience.

Scalability & Process

  • Build repeatable playbooks for office setup and management in new cities.
  • Ensure all operational, legal, and financial aspects of facilities are aligned with local regulations and global standards.
  • Identify and execute opportunities to optimize space usage, reduce costs, and enhance team experience.

What We're Looking For

  • 7+ years of experience in facilities, real estate, or operations roles within high-growth companies or global organizations.
  • Proven track record in office procurement, setup, and contract negotiation.
  • Experience managing vendors and budgets across multiple regions.
  • Strong project management and communication skills, with attention to detail and follow-through.
  • Comfort operating autonomously while maintaining alignment with leadership.
  • Excitement about building the physical foundation of a fast-growing global company.
