Strategic Project Manager

About the role

We're looking for a Strategic Project Manager to join our Group Operations team at Instabee. In this role, you'll take ownership of defining and implementing our Workforce Management strategy — shaping how we plan, manage, and optimize capacity across all our operations.

You'll work closely with senior leaders to define frameworks that balance efficiency, quality, and people. Your work will include everything from assessing our production model and introducing new ways of reporting, to identifying improvement opportunities and helping our teams across markets work smarter together.

This is a strategic and analytical role with a strong business focus — perfect for someone who enjoys connecting dots between data, operations, and people. You'll collaborate closely with leaders from Operations, Product Management, People and Finance to ensure our blue-collar workforce strategy supports both short- and long-term company goals.

Some of the things you will do

• Define and implement Instabee's strategy and frameworks for capacity, workforce, and performance management within operations

• Partner with senior leaders across departments to align on priorities and direction

• Develop reporting and insights (such as hourly rate metrics) that guide decision-making for local managers

• Support and guide our Product Manager for Workforce Management tools in defining the right priorities and business impact

• Collaborate with Terminal, First & Middle Mile, and Last Mile teams to build scalable processes and share best practices

Your future team

You'll be part of Group Operations, a small and high-impact team responsible for enabling smart and scalable ways of working across all Instabee markets. The team works closely with local Operations teams and central functions to drive improvement and efficiency.

You'll report directly to the VP Operations, who will support your learning and development, and collaborate with experienced colleagues who are always up for sharing insights and helping each other grow.

What we're looking for

You're a structured and strategic problem-solver who thrives on complexity. You enjoy working in cross-functional environments, influencing senior stakeholders, and turning analysis into clear recommendations and tangible results.

• 3–5 years of experience in management consulting or a similar analytical/strategic role

• Strong analytical and problem-solving skills with a data-driven mindset

• Excellent communication skills and ability to structure and present insights clearly

• Experience managing multiple priorities and projects independently

• A degree in math, engineering, economics, or another relevant field

• Fluent in English, both spoken and written, Swedish is a plus
