About Us
In 2022, Instabee was established after merging Budbee and Instabox - two top last-mile delivery companies with three popular brands: Budbee, Instabox, and Porterbuddy. Instabee caters to millions of consumers throughout Europe with convenient deliveries and aims to be the primary e-commerce facilitator in Europe, always prioritizing the consumer.

We move fast, both in parcel delivery and in expanding our business. Our journey has taken us from Sweden to the rest of Scandinavia and parts of continental Europe, yet we are not slowing down anytime soon. About the Role
Are you a highly organized and proactive individual with a passion for creating exceptional workplace experiences? We are looking for a dynamic Facility Manager to lead our team and oversee our office in Stockholm, as well as support our offices in Oslo, Copenhagen, Helsinki, and Amsterdam. If you excel in managing office operations, negotiating contracts, and ensuring a top-notch working environment, we want you to be part of our team.

Key Responsibilities

  • Lead and manage the office team.
  • Oversee workplace experience initiatives.
  • Facilitate effective internal communication.
  • Manage office-related contracts, procurement, and budgets for Stockholm office.
  • Ensure health and safety compliance.
  • Oversee security and access control.
  • Develop and manage office seating plans.
  • Establish and enforce office policies.
  • Maintain high standards of cleanliness and service.
  • Update the office intranet with the latest information.

In addition to your responsibilities in Stockholm, you will also be required to:
  • Perform similar duties for offices in the Netherlands and Norway.
  • Manage existing tenants and leasing.
  • Assist other offices across different markets.
  • Handle office-related invoices.
  • Oversee office sustainability reporting for all markets.

Qualifications

  • Proven experience in facility management or a similar role.
  • Strong leadership and project management skills.
  • Excellent negotiation and contract management abilities.
  • Proficiency in budget management and procurement.
  • Knowledge of health and safety regulations and best practices.
  • Familiarity with security systems and ISO standards.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and projects concurrently.
